Landscape Contracting Department / Production Manager

The primary function of the CDM will be to install & care for our landscape projects. The CDM will be required to run all aspects of the contracting division.

This is a full-time year around position

60-70% of time will be spent actively working on & managing projects, 20-30% managing the contracting department, and 10% administrative work
Weekly schedule should be M-F and hours will be 45-50+ during peak season & 20-40 hours off season
Saturday hours as needed

Specific Responsibilities
Schedules job production & maintain the schedule board - proactively manage and schedule labor, equipment and material to accomplish production schedules (multiple projects & deadlines) within established budgets.

Maintains strict adherence to established schedules and budgets.

Scheduling must be completed with the project manager or crewleader a minimum of one day prior to actual work.

Supervises daily tracking & posting of job hours to budgeted hours & report to the design sales team reason for jobs running over and how this can be corrected.

Maintains a healthy cash flow by ensuring invoices are prepared on time.

Understands contract specifications and ensure they are met and confirm in writing all agreements, change orders, decisions, assignments, and follow-ups.

Provides most recent plans and/or documents to field staff at the beginning of the day and provide instruction to ensure crewleaders/project managers are prepared to complete the job.

Reviews jobs with Design/Sales team prior to final bid to ensure successful project installations.

Maintains proper inventory of materials, equipment and other supplies so they are on hand to complete production activities (and within purchasing limits).

Assures smart purchases by utilizing standard purchasing techniques, including obtaining multiple bids and working with our venders to achieve economies of scale (bulk purchasing).

Supervises employees, keeping attendance records, enforcing proper uniform and safety equipment use, and approving timecards.

Also ensure field reports/records are accurate & flow effectively between contracting and office (administrators).

Provides overall human resource management of field staff within contracting division. This includes hiring, firing, disciplining, training, coaching, and mentoring staff to reach potential & established goals for individual & contracting division.

Identify and develop crewleaders - Train crew leaders/project managers, and crewmembers through preplanned training events.

Complete new hire job packets prior to employee start.

Maintains sufficient staff to accomplish production schedules and analyze future needs, forecasting staff and material needs to complete future jobs.

Conducts timely performance reviews of direct reports (3 month, biannual or and/or annual) and take corrective actions when appropriate.

Coordinates the use of labor, equipment, materials and other resources with other divisions as needed (i.e. Landscape Care Department, etc.).

Visits job sites on a regular basis, observing organization of work, identifying and resolving training issues, and taking necessary actions to ensure quality.

Maintains day-to-day working knowledge of all contracts in progress, including field completion status, billings to-date and progress payments.

Schedule job production and maintain the schedule board.

Reviews crewleaders/project managers’ daily plan to ensure successful job execution.

Maintains costs within all assigned department & project budgets.

Monitor job costs weekly and immediately report to crewleader/project manager any jobs deviating from budgets of time, schedule, cost or any other factor so appropriate adjustments can be made to maximize end result.

Makes recommendations regarding qualifying or disqualifying warranty work.

Coordinate completion of warranty work per contract and/or instructions from General or Sales Manager.

Maintains a high level of good housekeeping and care of company assets in the field, vehicles, shop, field offices and customer work-sites.

Stays aware of Best Practices.

Develop and recommend improved work methods and standards.

Fills roles of estimator, crew leader/project manager, and/or crewmember as required based on your workload as well as project type, labor availability, and schedule.

When working in the field the CDM is required to leave when needed each day to allow for continued scheduling and to perform duties related to the CDM position. This must be conveyed and understood by our crew leaders/project managers.

Qualifications & Experience
Bachelor’s degree in relevant field and/or 5-10 years relevant experience
Minimum of 3 years of leadership experience
Knowledge of native species, hardscape construction with natural stone, & sustainable/organic landscape techniques a plus

Pesticide applicators license or willingness to obtain

Specific Requirements
Able to prioritize and manage multiple crews and varying workloads
Extensive applied knowledge of effective landscaping skills and techniques
Experience in business management, including basic accounting skills
Mechanical aptitude
Knowledge of relevant computer programs
Ability to start during the project season at 6:30 to plan before crewleaders arrive
Must be able to operate equipment & possess visual acuity to review work for accuracy & neatness

Physical Requirements (& Working Conditions)
Ability to repeatedly lift 60 pounds
Ability to work in all weather conditions
